Lead Lists
Build, analyze, share and export pipelines of providers, facilities and ACO networks with statuses, notes and follow-ups.
Open Lead Lists -- in the sidebar under Workspace.
A lead list is a working pipeline, not a bookmark folder. Each lead carries a status, notes and an optional follow-up date. Each list can be broken down by geography and specialty, exported for your CRM and shared with your team.
A lead is always a provider (by NPI), a facility or an ACO network, and it links back to that record's page.
The Lead Lists page
The band at the top counts Total lists, Leads tracked, Overdue follow-ups and Shared with team. Below it is every list you own or that a teammate shared with you:
- Leads -- how many leads the list holds
- Pipeline -- a bar split by status, with the won count (or the open count while nothing is won) and any overdue follow-ups in red
- Owner and Shared (Team or Private)
- Updated
Search lists by name or description. Drag a row by its handle to reorder, or focus the handle and use the arrow keys. The order is yours alone; teammates keep their own. Clear the search box to reorder.
Creating a list
From a table
Filter a supported table, then click Save as lead list -- the highlighted button at the right end of the table toolbar.
| Table | Plan |
|---|---|
| Providers | All plans |
| Prov Summary | Pro and Teams |
| Prov Drugs | Pro and Teams |
| Facilities | Pro and Teams |
| ACO Networks | Pro and Teams |
Prov Summary and Prov Drugs rows resolve to the underlying provider, so a list built from any prescriber table holds provider leads.
The dialog shows how many leads will be saved and which filters were used. When more than 100 rows match, choose how many to save: Top 100, Top 250, Top 500, or All when the total is 500 or fewer. Leads are taken in the table's current sort order, and one save holds up to 500 leads, so narrow the filters to capture a tighter group. Qope names the list after the table and filters (you can edit the name), records the filters in the list description, and can share the list with your team in the same step.
Saving from a table uses one credit.
From a ranking
Rankings in Insights and in a Territory Brief have their own Save as lead list button that saves the ranked rows as a new list. Radar offers the same button on several of its panels, such as a watched drug's top prescribers.
From NPI Match
Upload or paste your own list of clinicians, match each one to an NPI, and save the matches as a list. See NPI Match.
One record at a time
- On a provider, facility or ACO record page, click Add to list. Tick any of your lists (or lists shared with you) to add or remove the record; the button then reads In N lists. New list creates a list and adds the record in one step, and Manage opens the Lead Lists page.
- On the Providers table, right-click a row and choose Add to lead list.
- Several intelligence views carry the same Add to list button on their rows, for example prescribers on Patent Cliff and hospitals in EHR Intelligence.
Empty, then fill
Click New list on the Lead Lists page (or New lead list on Home), give it a name and an optional description, then open it and click Add leads. Pick a State, a Primary specialty or both, click Search, and add individual providers from the first 50 matches.
Inside a list
The header shows the lead count, the owner and when the list was last updated, with these actions:
- Shared with team switch (owner only)
- Refresh data
- Export
- Edit and Delete (owner only)
Status tiles
Tiles count Total, each of the five statuses, and Overdue. Click a status tile to show only those leads; click it again, or click Total, to show all.
Statuses
Every lead has one of five statuses. New leads start as Open.
| Status | Colour | Meaning |
|---|---|---|
| Open | Blue | Not yet touched |
| Contacted | Violet | Outreach sent |
| Working | Amber | Active conversation |
| Won | Emerald | Closed successfully |
| Lost | Grey | Closed unsuccessfully |
KOL Portfolio
When the list holds providers with enough Medicare data, a KOL Portfolio card summarizes them: how many are scored, the Tier mix (T1, T2, T3), Total Medicare $, Total service volume, how many practice In shortage areas, and the Top specialty.
KOL tier, service volume, Medicare payments and the shortage-area (HPSA) badge are worked out for the first 60 leads in the list. Leads beyond that show "--" and are left out of the card. Facility leads show their type, bed count and ownership on Pro and Teams.
Analyze this list
A one-line summary shows the top states and the top specialty. Show breakdown opens three tabs:
- Geography -- leads by State and by City. The State table adds vs population: the state's share of your leads divided by its share of the US population, so 1.0x is in line with population and 2.0x is twice as concentrated. It appears for states with 5 or more leads once at least 30 leads have a state on file. Population figures are U.S. Census Bureau estimates, Vintage 2025.
- Specialty -- leads by Specialty and Subspecialty.
- Gender.
Click any row to show only those leads in the table below, then select them to change status, copy or remove. Click the row again to show all leads. The Not on file row collects leads without that detail.
Location and specialty come from the NPI registry or the dataset the lead was saved from. When some leads have nothing on file yet, a notice offers Fill missing data, which runs Refresh data.
The leads table
Filter by name and sort by Recently added, Follow-up date, KOL tier, Service volume or Medicare $. The columns are Lead, KOL Tier, Service Vol, Medicare $, Status, Follow-up, Notes and Added by.
- Status -- pick from the dropdown on the row.
- Follow-up -- click Set date to pick the next follow-up date. Clear date removes it. A date due today shows in amber.
- Notes -- click Add notes... to write free text, up to 2,000 characters, then save.
Overdue follow-ups
A lead is overdue when its follow-up date is before today and its status is not Won or Lost. Overdue leads show up in:
- the leads table, where the date turns red and is marked overdue, and the Overdue tile
- the Overdue follow-ups count and the Pipeline column on the Lead Lists page
- Home, in the line under the greeting and on the Lead lists card
- the Lead Lists badge in the sidebar, which counts overdue leads on lists you own
- Radar's Activity tab, under Follow-ups due, which lists up to 12 overdue leads from lists you own, oldest first
Bulk actions
Tick leads, or tick the header box to select every lead currently shown, then:
- Set status... on all of them
- Copy to list... another list you own or that is shared with you
- Remove them
- Clear selection
Because the header box selects only what is shown, filter by status, name or a breakdown row first to act on exactly that group.
Refresh data
Refresh data re-checks leads against the latest data and updates names, locations and the details the breakdown uses. Each run checks up to 120 leads, starting with leads that have no location or specialty on file, and uses one credit.
- Provider leads refresh on every plan. Facility and ACO leads refresh on Pro and Teams.
- Leads that no longer appear in the latest data are flagged Not in latest data. They are not removed.
- Refresh never adds leads. A list saved from a table is a snapshot of the rows that matched when you saved it.
Export
Export offers three CSV layouts:
| Option | What you get |
|---|---|
| All QOPE fields (CSV) | Every lead with its record type and ID, name, subtitle, KOL tier, service volume, Medicare payment, HPSA flag, facility details, status, follow-up date, notes, date added and who added it |
| HubSpot contacts (CSV) | HubSpot import columns (name, company, job title, phone, street, city, state, postal code) plus NPI, QOPE status, follow-up date, notes and a link to the record in Qope |
| Salesforce leads (CSV) | Salesforce import columns (name, company, title, phone, street, city, state, postal code, Lead Source set to QOPE, your notes as Description) plus NPI, QOPE status, follow-up date and a link to the record in Qope |
The HubSpot and Salesforce exports look up current contact details, use one credit, and include the newest 500 leads. Contact details for facility and ACO leads need Pro or Teams. Leads without contact details are still exported with their name and status, and the confirmation tells you how many.
Sharing with your team
Turn on Share with team when you create or save a list, or later with the Shared with team switch or Edit. Every member of your team account can then open the list.
- Teammates can add leads, change statuses, set follow-ups and write notes.
- Only the owner can rename the list, change its sharing or delete it.
- The owner can remove any lead. Teammates can remove only the leads they added.
- Every lead shows who added it and when.
Teammates get an in-app notification (the bell in the top bar) when a list is shared with the team, and when someone adds a lead to a shared list from a record page or the Add leads dialog. Shared lists also appear on the team Hub -- see Team Hub.
Limits and gotchas
- One save from a table holds up to 500 leads.
- Saving from a table, Refresh data, and the HubSpot and Salesforce exports each use one credit. At your monthly limit they stop with a credit-limit message instead of producing a partial list. See Usage and Limits.
- A list saved from a table does not update itself as new records appear.
- KOL tier, volume and shortage signals cover the first 60 leads of a list.
- Deleting a list is permanent and removes all of its leads. Qope asks before it deletes.
